Privacy Policy

How Auto Care Mobile Fleet Solutions collects, uses, discloses and protects personal information — including fleet, vehicle and condition-photo information — under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Auto Care Mobile Fleet Solutions (“Auto Care Mobile Fleet”, “we”, “us” or “our”) respects your privacy and your business’s privacy. This policy explains what personal information we handle when you visit autocaremobilefleet.ca, request a fleet assessment, book a service visit, or contact us, and the choices you have. We follow the ten fair information principles set out in PIPEDA.

1. Who this policy applies to

This policy applies to personal information about our clients, their staff and drivers, prospective clients, website visitors and business contacts that Auto Care Mobile Fleet collects in the course of operating a mobile fleet-care business. It does not apply to third-party websites we may link to, which have their own privacy practices.

Auto Care Mobile Fleet is accountable for the personal information under its control, including information transferred to third parties who perform services on our behalf. Owner and operator Ali Shahzad is responsible for overseeing our compliance with this policy.

2. What personal information we collect

We only collect information we need to service your fleet well and run the business. Depending on how you interact with us, this may include:

  • Contact details — name, email address, phone number, and business or company name.
  • Fleet & vehicle details — vehicle count, type and, where provided, make, model and licence plate, used to schedule and identify vehicles for service.
  • Site & scheduling details — lot or depot location, visit frequency, service selections and appointment history.
  • Condition records — checklist entries and timestamped photographs of vehicle condition taken during a service visit (see “Vehicle & condition photos” below).
  • Billing details — for recurring plans, the contact and payment information needed to invoice a client.
  • Website and technical data — basic, non-identifying information such as pages viewed and general device or browser type, where applicable (see Cookies & analytics below).

We do not collect medical or health information, and we do not sell your personal information.

3. How we use your information

We use personal information for purposes a reasonable person would consider appropriate to running a mobile fleet-care business, including to:

  • respond to enquiries and book fleet assessments or service visits;
  • schedule and route technicians to the correct lot or depot;
  • deliver on-site cleaning, detailing, readiness checks and reporting;
  • send maintenance-due reminders and post-visit checklist & photo reports;
  • administer recurring plans, invoicing and rescheduling; and
  • meet our legal, tax and record-keeping obligations.

We identify the purposes for which information is collected at or before the time of collection. If we ever want to use your information for a new purpose, we will ask for your consent first.

4. Vehicle & condition photos

As part of our checklist & photo reporting and rental-turnaround services, our technicians take timestamped photographs of vehicle exteriors and interiors to document condition before and after a visit. These photos are taken to serve the client who booked the visit and are shared only with that client, as part of their service report. We ask technicians to avoid photographing bystanders or the visible personal belongings of drivers where reasonably possible, and photos are used only for the condition-reporting purpose described here — not for marketing without separate consent.

We collect, use and disclose personal information with your knowledge and consent, except where the law permits or requires otherwise. By booking a fleet assessment, a service visit, or sending us an enquiry, you consent to us using the information provided for the purposes described above.

You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details below. Withdrawing consent may mean we can no longer continue servicing your fleet or communicating with your business.

6. When we disclose information

We do not sell, rent or trade personal information. We may share it only as needed to run the business or as required by law, for example with:

  • the technician(s) directly servicing your fleet;
  • payment processors, accountants and other service providers who act on our behalf under confidentiality obligations; and
  • authorities or advisors where disclosure is required or permitted by applicable law.

When we engage service providers, we use contractual or other means to provide a comparable level of protection while the information is being processed on our behalf.

7. How long we keep it

We retain personal information, including condition photos and checklist records, only as long as necessary to fulfil the purposes for which it was collected and to meet legal, accounting and tax requirements. When information is no longer needed, we securely destroy, erase or anonymise it.

8. How we protect it

We protect personal information with safeguards appropriate to its sensitivity, including limiting who can access client and vehicle records, using secure handling of digital reports and photos, and training our technicians on appropriate use of client information. No method of transmission or storage is completely secure, but we work to keep our safeguards current.

9. Accuracy, access and correction

We keep personal information as accurate, complete and up to date as necessary for the purposes for which it is used. You may ask what personal information we hold about your business, how it is used, and request a correction. We will respond within a reasonable time and, where a request is refused, explain why. We may need to verify your identity before acting on a request.

10. Cookies & analytics

This is a lightweight, largely static website. It does not require you to create an account or accept tracking cookies to browse. The contact form does not transmit data to our servers — when you submit it, it simply opens a pre-filled message in your own email application, which you then choose to send. If we introduce optional analytics or cookies in future, we will update this policy and, where required, seek your consent.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. The current version is always posted on this page with its effective date. Material changes will be highlighted where appropriate.
